French Visit 2013 Planning Committee Minutes
July 16, 2013
Attendance: Paula Randant, John Sibrava, Skip Farley, Janice Farley, Arlene Juracek, Judy McGinnis, Mary Ann
Sibrava, John Korn, Michael Davey, Judy Thorne, Barbara VanArsdale, Gary Randant, Trisha Fusilero,
I.Meeting called to order at 5:35 PM by Chair Paula Randant
II.June 11, 2013 meeting minutes were approved
III.Citizens to be heard: No one
IV.Discussions
a.Housing- Judy Thorne Host families have been chosen. Judy provided an updated list with
current assignments. There had been a change.
b.Bosch Tour-Paula Randant Paula met with Georgia Mitchel the manager of PR at Bosch in MP.
There may be a change in lunch so everyone can be included. Will follow up in July.
c.Daily Herald Tour- Janice Farley Transportation will be Village bus and cars. The Daily Herald
visit will be Monday around 10AM and will be at two sites and lunch at Pilot Pete’s. Pilot Pete’s
is at the Schaumburg Airport. Timing approximately 10 to 130. Janice will check to see if any of
Daily Herald staff will be with us for lunch at Pilot Pete’s.
d.Randhurst Tour and visit – John Korn John will follow up with Randhurst management to plan
visit approximate time 4pm and it will end with dinner at Black Finn Judy McGinnis will follow up
with dinner plans. John to provide update on Randhurst tour.
e.Trip to Chicago-Gary and Paula -Will be using Trolley for trip to city and return $390. Round trip
will meet at Victoria on the Lake parking lot as parking for the day is free.
f.French Market general discussion: Judy McGinnis, Judy Thorne, Barb VanArsdale working on
event with Marianthi. Keep us informed.
g.Picnic after market-John Sibrava -Lions Park will be the location and we will use the Band shell for
dancers. John has full hour by hour schedule. Mark Thorne, Rafi Sahakian, and John Korn will
assist with barbecues and cooking. Charcoal grills will be provided by Lions Club. Dan Serio
pledged meat including burgers, chicken, hot dogs and ribs as a donation. There is a $50 trash
clean up fee. Discussion of tables. Park District has picnic tables available- arranged. John
requested place to hold meat i.e. refrig. Tricia has a vacant frig. In her garage, we will use it to
store meat. John needs a horse shoe, Gary Randant will provide one and a baggo game. Tables
will be by the Band shell to watch dancing. Budget provided approx... $521.00.
h.Western dancing- Denise Rano Western square dancing entertainers have been confirmed at
$100. For the caller. They requested a letter of confirmation and Denise has provided them a
letter. They are very committed to the event and demonstrating/teaching the French visitors to
dance. Total time about an hour with dance demonstration and teaching lesson for 20-30
minutes. Plan stands. Cking with Denise for statement from Caller and Tour guide so we can cut
them checks.
i.We have two school visits. We will visit the Mount Prospect Child Care Center with Michael
Davey on Tuesday 9/17 at 9:15 am. We will also visit River Trails Middle School on Thursday 9/19
at 10am for about an hour. We will meet at village hall for transportation. Paula arranging these
events. Michael asked for clarification on program. Probably tour, music and art.
j.Visit to Villas at Sevres -Skip Farley-.Event on Monday after lunch at Pilot Pete’s approx. 230 pm
Skip will ck in with owner to finalize.
k.Reception at Library-Mary Ann Sibrava Reception Monday at 730 PM open to community to
meet our quests. Will have desserts. Plans being worked on. Delegation will get to Library at
7:00 so there is time for a tour of Library facility prior to reception.
l.Community Center on south side Mary Ann developing for Tuesday around 230 to 3pm. returns
to Village Hall by 4pm. Will have limited number our 15 French guests and a few hosts as
location is small. Mary Ann arranging a program. Break from 4 to 515.
m.Welcome and departure events: Village bus and van will pick up guests and their luggage and
bring them to the Village Hall for welcome reception with host families and commission
members. Guests will go home to dinner with their host families. Barbara and Michael Davey
will arrange food for welcome reception. Lorrie will arrange final dinner Thursday prior to return
to airport. Departure day afternoon will be free with Dinner at Village Hall about 5:30 and
departure to the airport around 7:30.
n. Materials, welcome packets and translations, Denise Rano and Judy Thorne short discussion, no
decisions yet. Judy McGinnis to help as well. Work with Doreen for information. Continuing.
o.Gifts for guests, Janice Farley - an imprinted portfolio was shown by Janice with 15 to 20
required. Widely admired and estimated cost $25. Janice found lovely garden butterfly as town
to town gift. She brought it and it was reviewed and accepted. Janice spoke to Rainbow Hospice
and will follow up with Public Works to have butterflies placed downtown MP,
p.Chicago walking tour will be at 2pm with French speaking tour guide. It will be an hour then the
Trolley will pick up at a designated place. Denise Rano event in place.
q.Meals and time with Host families. Discussed. Tuesday dinner will be at Retro Bistro starting at
530. Gary and Paula will organize.
r.Community Dinner at Victoria on the Lake 9/18 7PM cocktails begin. Plans in process with Paula
and Doreen. Date reserved with Victoria. Contract done. Invitations to follow. Irvana will work
on availability of Seal paper weight as favors, Lorrie working on candy favor and Judy McGinnis
will assist. Judy M and Irvana will ck with Doreen on name tags and lanyards. Fee for dinner $40.
Per person.
V.Draft budget attached.
VI.Community involvement- Announcements will be made in the village newsletter. There will be 3
events Sunday at French Market around 11 to chat with French Market participants. Monday evening
Library reception 7:30 open to Public. Wednesday evening Dinner with Community invited at Victoria
on the Lake. Presentation of gifts /awards etc.

VIII.Plan next meeting date chosen 8/7/13 at 5:30 in Village Hall.
IX.Meeting adjourned at 7:00PM.
