SUBJECT: SEALED BID RESULTS FOR FIRE STATION 13 FLAT ROOF REPAIR
(NOT TO EXCEED $81,510)
BACKGROUND
In the current budget, staff has requested funds to repair the flat roof at Fire Station 13 (112 East
Northwest Highway). This bid is for repair of the flat roof at Fire Station 13 which has been
failing for several years and is beyond patching. The repair is for total replacement of the roof
membrane including insulation. It includes removal and reinstallation of the existing patio
stones; removal and replacement of the butt joint sealant; any necessary brick replacement; and
installation of a new wall flashing system.
The Hutchinson Design Group, Ltd. of Barrington, Illinois was hired to prepare the bid
documents, oversee the bidding, and supervise construction of the project.
BID RESULTS
Sealed bids were opened at 1:00 P.M. on July 11, 2011 for proposed roof repairs. Four
invitational bids were mailed and a bid notice was placed in the local paper. Four companies
attended the mandatory pre -bid meeting and three bids were received.
Three bids were received. The results are as follows:

DISCUSSION
The low cost proposal was submitted by American Roofing & Repair Company of West
Chicago, Illinois. American Roofing has not performed any roofing work for the Village.
However, they are known to our roofing consultant, Hutchinson Design, as an excellent
contractor who has successfully completed several similar projects. Reference checks also
indicate that American Roofing and Repair has sufficient experience and expertise to perform the
requisite work.
Staff recommends including a 10% contingency fee in the award of this project. This
contingency would be reserved for solutions to unanticipated conflicts that arise during the
removal and installation of the new roofing system. In this instance, the total recommended
award would be $74,100 + $7,410 (10% contingency) _ $85,510 (recommended total award).
RECOMMENDATION
Staff recommends accepting the lowest cost proposal as submitted by American Roofing &
Repair Company of West Chicago, Illinois for the repair to the flat roof at Fire Station 13 in an
amount not to exceed $85,510. Sufficient funds for this proposed project exist in the current
budget.
