Auden C:\-SEC\Agendas & minutes\SEC Agenda 100309.doc MOUNT PROSPECT SPECIAL EVENTS COMMISSION Meeting Minutes Saturday, September 5,2009 Village Hall- 9:00 a.m. CALL TO ORDER: Chairman Tom Zander called the meeting to order at 9:00 a.m. Present: Dawn Collins, Sandy DiCaro, Dale Draznin, Janice Farley, Eileen Gattas, Christina Greco, Paul Seils, Jim Uszler, Teresa VanOpdorp, Tom Zander Absent: Jill Friedrichs, Martha Helm, Linda Hoefert, Kathy Janonis, Mike Janonis, Laury Youngquist APPROV AL OF MINUTES: All members present moved to approve the minutes of the August 1, 2009 meeting. FINANCIAL REPORT: All members present approved the Treasurer's Report of August 31, 2009 as written. CURRENT BUSINESS: 1. Family Bike Ride: Public Works will be holding their auction the same day as the bike ride. Due to this, parking for our event will be in the Bosch parking lot. Teresa reported she had 50-60 registrants online and Christina had 35. SEC is providing water and granola bars to participants. Sandy will be picking up the coffee for the event. Laury put together the give away bags and Janice did a phenomenal job obtaining raffle prizes from local businesses. Check in time for riders is at 9:00. 2. Celestial Celebration Survey Results: The commission went over the results of our survey on the Celestial. SEC members gave their input regarding planning process, quality of winners, length of award presentation and all other aspects of the event. 3. Celestial Celebration Planning: It was decided the winners will be announced before the event and no longer be kept private until the evening of the Celestial. There was discussion of the various awards and how changes in the community (community is getting younger for instance) have affected them. Sandy had suggested a new way of presenting the awards. She and other members will be working on a plan to be implemented with the 2011 Celestial. There will be videotaping of winners doing the things that got them nominated. This will take the place of a long talk about them before they receive awards. SEC is hoping to peak audience interest in the award presentation. Glen and Kathy will continue to take care of decorations. The theme will be a Masquerade Ball with a Carnivale theme. The name has not been determined yet.
