SUBJECT: BID RESULTS - EAB TREATMENT - $26,000.00
BACKGROUND
Sealed bids for preventive treatment of selected ash trees were opened on April 6, 2009. As
authorized at the March 10, 2009 Committee of the Whole meeting, the Forestry/Grounds Division
put out a bid to treat selected ash trees with soil injections of Imidacloprid, in an attempt to protect
them from the Emerald Ash Borer. Prices were sought to treat roughly 800-1000 high quality ash
trees over 6 inches in diameter this spring. We also included a provision which will allow us to
extend the contract for a second year at the same bid prices, if both the contractor and Village agree.
BID RESULTS
Twelve invitational bids were mailed and a notice was published in a local newspaper. Nine bids
and one "no bid letter" were received. The bid results for treating an estimated 850 trees, or 11,733
diameter inches, were as follows:

BID DISCUSSION
The bid specifications identified approximately 850 trees, totaling approximately 11,733 diameter
inches, which we expected to need treatment at the time the specifications were prepared.

However, the specifications were written to allow us to remove trees or add additional trees, if
desired, up to the amount budgeted. Additionally, some trees may have increased slightly in size
since they were last measured. We are currently reevaluating and measuring the trees and will
finalize the treatment list shortly.
The low bidder, TruGreen, has worked satisfactorily for us in the past on multiple fertilization and
herbicide contracts.
BID RECOMMENDATION
There are funds available in the 2009 budget (Page 230, Account #0015203-54071) in the Gypsy
Moth Spraying account. I recommend award of a possible two-year contract to the lowest qualified
bidder, TruGreen, in an amount not to exceed $26,000.00. If year one is successful, and a contract
extension is agreed to by the Village and the contractor, year two will be in an amount not to exceed
what is appropriated in the 2010 budget.
