JANUARY 21, 2009

I. The meeting was called to order by Dorothy Kucera at 5 :40PM. The minutes of the last
meeting were read and approved.
II. The following reports were presented in writing or given orally:
the French Market report dated October 12, 2008 included a summary, a financial
report, participant list, copies of communication, write ups on entertainment, task list
and brochure.
Wine Tasting report dated October 30, 2008 included a summary completed by Maura
Reschke.
French Ensemble visit October 26 to November 3,2008 included a summary and
itinerary completed by Denise Rano. A motion was made to operate the French Market
again next fall. It was moved, seconded and approved. The actual date to be decided at
a future time.
Treasurer's Report dated December 31, 2008. Report reviewed and approved.
Holiday Parade/Cookies Paula Randant gave an oral report. Cookies were provided in
the refreshment tent, the event was well attended. The day was very cold.
Shining Star oral report from Rachel Toeppen. Rachel shared her process and provided
a full copy of the application presented to the Special Events Commission. The Special
Events Commission has awarded a Shining Star Award to the Sister Cities Commission.
There are 1 Y2 tables reserved so far for the event for Commission members.
Mary Ann Sebrava has scheduled the Family French Festival at the library for July 15,
2009 from 6:30 to 7:30 PM.
All written reports are attached to the official minutes.
III. Discussion of Official visit of the Sevre Delegatioin. Dorothy began the discussion by
thanking Irvana for the Thank you letter for the Ensemble visit. There was discussion of
possible dates and the conflicts Commission members had with some of the dates. The
last week of May and beginning of June was agreed as a date to present to the
Delegation. There was beginning discussion of events for the visit and Dorothy
presented a suggestion of Commission member duties for the visit. John Sibrava
wondered about official policies and commission rules for such visits. Some past rules
were made available for review. Rachel wanted some input on planning rather than just
assignments. Other members agreed. It was agreed that the Commission would meet in
February to discuss planning. Irvana with Denise Rano's assistance was going to
contact the Sevre Delegation to confirm the dates they would come to visit. Hopefully
we will have a confirmed date by the Commissions February meeting. There was some
discussion on how to comply with the open meeting act.
IV. Denise noted considering an event Nov. 4 to 10th. Maura will email Felician about
National French Week and the National Association of French teachers.
V. The next meeting of the Sister Cities Commission will be 2/11/09 at 5:30 PM. The
meeting was adjourned at 6:55 PM.

February 11, 2009

Irvana Wilks, John Sibrava, Mary Ann Sibrava, Paula Randant, Dorothy Kucera, Rachel

The meeting was called to order at 5 :40 PM by Dorothy Kucera. Dorothy passed out two sheets
with the dates of the visit on a grid to plan activities each day. The date of the visit was
confirmed. The French delegation will arrive 5/24/09. Most members will be leaving 5/31/09.
The delegation will attend and the mayors participate in the Memorial Day commemoration
event. The delegation will probably be 15 people. The Mayor of Sevres will participate with
Irvana in the activities.
A few pieces of information shared by members. This is the 4th visit. Dorothy had shared some
possible task assignments. They are: official MP gift- Irvana Wilks

Discussion: The Sibrava's brought in several ideas for a community event. There was
discussion of a baseball game at a Schaumburg Flyers game. There was discussion of what type
of event would involve the most people from the community. Eventually a Pot Luck at Village
Hall on Wed. 5/27 was agreed upon for the Community event. The Flyers game was agreed
upon as a commission and delegation event in the evening on 5/26, John will follow up on
particulars for next meeting. A beginning schedule of events was put together with some tasks
and information yet to be gathered. Delegation arrives on Sunday 5/24, arrival reception;
Monday 5/25, Memorial Day Parade and Band Shell event approximately 9 to noon, 3PM
barbecue at Maura's; Tuesday 5/26, trip to Chicago all day, evening at Schaumburg Flyers;
Wednesday 5/27, tour of Mount Prospect and Potluck Dinner;
Thurday 5/28 trip to Springfield, being planned by Dorothy and Rachel. Rachel working on bus
transportation, Dorothy estimates about $500. per person including bus, hotel, meals and tickets.
Dorothy will talk to Sister City Commission in Springfield for some advice on plans. Dorothy
will also follow up with Francoise of the French delegation by email. Group will return from
Springfield on Saturday 5/30 and the day will end with reception/dinner at Randant's.
Most of group will leave on Sunday 5/31.
It was agreed that the next meeting of the Committee will be 3/3/9 at 5:30 PM.
The meeting was adjourned at 7:15 PM.

Sister Cities Minutes for March 5, 2009
Present: Judy Thorne, Janice Farley, Skip Farley, Irvana Wilks, MaryAnn Sibrava, John Sibrava, Dorothy
Kucera, Rachel Toeppen, Felician Sirois, Maura Reschke, Lorie Huber, John Korn, Cindy Kiel
April 17-18 is the Illinois State Convention in Schaumburg. The motion was made by Cindy and seconded
by Skip to have the commission pay the registration of $89.00 to send Dorothy, Rachel, and Denise to the
convention. All approved.
Judy gave an update on housing for the French visitors. Housing is still needed, if you know anyone who
can host please contact Judy Thorne. The French will visit May 24-May 31.
Official Gift: Irvana suggested 133Artisans, Pickard China. Janice showed wooded tray from the Raffaelli
Company in town. Rafaelli will donate 14" wooden trays (cherry) engraved for FREE.
Maura will host BBQ at her home on Monday following the 9:30 memorial service.
Chicago Trip will be Tuesday. Estimated cost is 1750.00. Bev Livingston-French Translator will
accompany the tour group.
Mount Prospect Tour will be Wednesday Morning. Guests will be transported in cars. Ideas of interest
include; Village Hall, Library, and Models of new Apartments. Denise said she could be with the group
everyday to help translate. After eating lunch in Mt Prospect, the group will travel north to the Chicago
Botanical Gardens. Rachel mentioned the possibility of having a program in French for them. Also the idea
of the tram ride through the park was suggested.
John Sibrava is making plans for the Tuesday night ballgame. Dinner will be at the Restaurant and we will
go to our seats after dinner (around the 3rd inning.) Buffet is 15.45 plus drinks. Game tickets are 7.87.
Approximate cost will be $1333.00.
Wednesday night will be dessert at the Library. There will coffee and dessert offered for a meet and greet at
$7.00. This event is FREE and will be advertised to all Mount Prospect residents through the library
newsletter. The Library will be taking care of all the publicity. Thank you library! ! !
Felicion will be working on the welcome packets. He asked when they were needed and Dorothy responded
they would be needed by when the French arrive on May 24th.
Dorothy has contacted the Springfield Sister City group for information on taking the French to Springfield.
As of now the group would leave on Thursday Morning at 8.00. No details are yet made.
Next meeting is Thursday March 26th. Place/Time???
Some members are out of town for Spring Break, however, most could make this date.
