MOUNT PROSPECT SPECIAL EVENTS COMMISSION
Meeting Minutes
Saturday, August 2,2008, Village Hall - 9:00 a.m.
CAll TO ORDER: Chairman Tom Zander called the meeting to order at 9:00 a.m.
Present: Sandy DiCaro, Dale Draznin, Janice Farley, Jill Friedrichs, Eileen Gattas, Christina Greco,
Linda Hoefert, Kathy Janonis, Mike Janonis, Teresa VanOpdorp, Tom Zander
Absent: Dawn Collins, Martha Helm, Paul Seils, Jim Uszler, Laury Youngquist
APPROVAL OF MINUTES: Tom Zander, seconded by Jill Friedrichs, moved to approve the minutes of
the July 12, 2008 meeting. Motion approved.
FINANCIAL REPORT: Mike Janonis moved and Linda Hoefert seconded to approve the Treasurer's
Report of July 31, 2008. Motion approved.
CURRENT BUSINESS:
1. Do-it-Yourself Sousa: Tom stated that 600 flags had been distributed. All the programs were
handed out. The lighting that was added by the band shell was very beneficial at the end of the
program, but it was still fairly light out. Bagging of the street signs on Lincoln was planned but not
executed. In the end, we found that the lighting and bagging of street signs is probably not
necessary if the Football practices are rescheduled to another day as they were for this year's
event. The event drew a great amount of people. The suggestions the Commission had for
improving the Sousa came to fruition and made it a success.
Problems: Most of the spectators parked in the paved lot in front of the field house building and
walked across the field to the bandshell. This is not necessarily a problem but many of the
spectators are seniors with canes and walkers, and maneuvering across the uneven ground can
be difficult especially if it is dark or they are using a cane/walker/wheelchair. Numerous people
asked about bathroom facilities which seemed far away to those with limited mobility. The ideal
solution would be a lighted walkway from the field house to the bandshell but we realize that
would be a large expense.
2. Celestial Celebration Game Plan: The first meeting of the Celestial Celebration committee will
be August 25th at Tom's house. The 2009 event will be a more formal theme, as was decided last
year. There is a general consensus that a DJ might be a good alternative this year, rather than
the orchestra. A suggestion was made to have sponsors give a set amount for the year and
divide it among our various events. We will investigate this type of general sponsorship.
3. Family Bike Ride: The event takes place Saturday, September 6th. Teresa stated that District
26 will be participating in the bike ride as part of a fundraiser for their foundation. They will be
selling water to participants. The Commission needs T-shirts for the event. This will cost
approximately $500. We either need sponsors to get the shirts or take money from our funds.
Starbucks will be donating coffee. Teresa needs about six volunteers for the event.

DO-IT- YOURSELF SOUSA REPORT
We had a total of 48 registrants to play with the Community Band on Monday, July 28,
2008. There was a specific note on the registration form that the rehearsal on Sunday,
July 27 was mandatory. Of the 48, ten people did not come. We also had one player
who came on Monday who had not registered and did not have music. I told him of the
original rules. He said he had seen an article in the newspaper (which I had not submitted
so I don't know where it came from) stating to "just show up". However, Jim Weyrick,
the President of the band allowed him to play, and I'm assuming he shared music with
another trombone player.
The evening of the rehearsal went well, and I certainly appreciated Janice Farley for
being there to assist me. There were "walk-ins" who needed to be registered and some
players didn't have specific music so I did a lot of running to the copy machine at Lions.
The rehearsal went from 7:00-9:30.
On Monday night, Sandy, Eileen, Teresa, Christina, Jim, and Tom were all there to assist
in handing out the programs and flags. Christina was also helpful in locating the water
which Eileen and Joe had purchased for the band and delivered to Lions on Saturday.
A total of $230 was turned in to Dave Erb.
