Discussion Item
This memorandum transmits a proposed layout plan and cost estimate for
remodeling and expansion of the Village Hall Executive Conference Room. The
layout plan is enclosed as Attachment A and the cost estimate is Attachment B.
The purpose of the proposed project is to increase the size of the room to
accommodate larger meetings and workgroups.
Notably, it is recurrently difficult to facilitate productive meetings with developers
and civic groups due to space limitations. The room's table is often utilized beyond
capacity, forcing meeting attendees to sit on the perimeter of the room instead of
at the table; this occurs in our weekly leadership team meetings as well as other
meetings with outside groups.
In addition, there are items showing significant wear and tear such as the glass
table top and cabinets, with other items becoming obsolete or underutilized, such
as the storage closets and side staff table.
Generally, the scope of work includes removing the existing north wall and
incorporating the adjacent storage room into the room's footprint. Following this
work, the ceiling and carpet will be replaced. In addition, new furniture, including
a larger capacity conference table, a new Smart Board monitor, new cabinets, and

new appliances will be installed.
The scope of work also includes miscellaneous carpentry, electrical,
communications wiring, and lighting work necessary to make the new conference
room an effective work space.
In order to mitigate the loss of storage space, Public Works crews will construct a
new storage closet in the TV Services office area. Specifically, a new closet will be
constructed in place of one of the existing cubicles outside the control room.
Work will be performed utilizing a combination of Public Works in-house crews and
specified contractors. Staff anticipates that the entire project will require 10-14
weeks of work from notice to proceed. The longest lead time is for the new
conference room table (presently at 10-14 weeks).
The total estimated cost of the project is $75,486.76.
Funding for this proposed project will be drawn from an existing capital account
(Other Public Buildings (020.80.90.00.1.706.651.001)) where a budget of
$165,000 has been authorized for improvements to Village -owned buildings.
None of the anticipated expenditures, individually or collectively to single vendor,
are likely to exceed the $20,000 threshold for Village Board approval.
Consequently, staff does not anticipate requesting Village Board approval for
purchases.
This memorandum has been prepared for informational purposes only. No Village
Board action is requested at this time.
