CITIZENS TO BE • PROCESSING EQUIPMENT For the past several months, several administrative staff members have been evaluating the need for word processing within the Village and evaluating various pieces of equipment. Attached for your review area memorandums from Stephen Park, Village Planner, and David Jepson, Finance ' Director., outlining the process used for evalua- tion and the .a.ppropriate budgetary considerations. The staff is recommending that the Village acquire Exxon word processing stations as a standard piece of equipment. This would facilitate work when various secretarial staff are shifted among Departments to fill in for various absences. The Community Development Department has had an Exxon word processor for over a year and finds the equipment satisfactory and the company support adequate to meet our needs. We are proposing the purchase of four word processing stations; one in the Village Manager's office, one in the Engineering office and two in the Public Works office. There are sufficient budget funds for these units. We are further recommending that units be contemplated for the Finance Department, the Clerk's Office, th.e Police Department and the Fire Department, however, funds were not budgeted this fiscal year for those work stations and e will hold off on their acquisition until next budget year. If the Board concurs ,with these recommendations, it will be necessary at a subsequent Village Board meeting to waive the bidding procedures and authorize the administra- tion to purchase the units from Exxon at prices not to exceed the published GSA contract prices. These prices will be good until next budget year. V. PAVEMENT EVALUATION PROGRAM During the budget prep ara tion , the staff reviewed with the Mayor and Board of Trustees the need to have an updated pavement, evaluat,i*lon'to replace the last evaluation data that ranges in age from, dour to seven years. During our presentat ons, we thought that it was possible to buy our own computer program and eventually do the evaluation with our own forces. In the Engineering budget, account number 21-074-01-8020, on page 140, we had set aside $30,000 for a micro -computer, word processing equipment and the Pavement Evaluation Program. After evaluating several options during this past summer, the staff has concluded that the work would be done more expeditiously and for less cost in the long - run by having such a service contractually. Various methods of pavement evaluation were explored and attached is the recomendation of Fred Tennyson of the Engineering Division. The total Program cost would be $82 ' 650 spread over three fiscal years. The cost this year would be $14,000, next fiscal year - $41,100 and in the 1986-1987 fiscal year - $27,550. The Engineering staff will be available at the meeting to review with you the necessity of the Pavement Evaluation Program, how it is performed and how it relates to our accelerated Repaving Program. VI. WOLF ROAD AND WILLOW ROAD The City of Prospect Heights is proposing certain in.ter- section at Wolf and Willow Roads. The Engineering staff has reviewed the tentative plans and has serious reservations as they impact the Village of Mount Prospect. Attached are memorandums from Village Engineer Chuck Bencic and Director of Public Works Herbert Weeks together with appropriate site maps. We bring this matter to your attention because the 'improvements do have an impact upon our own residents and one of the options being considered by Engineering is a jurisdictional transfer of some Mount Prospect roadway to the City of Prospect Heights.
