Mt. Prospect Special Events Commission
Meeting Minutes
February 10,2007
Attendees: Della Baldwin, Sandra DiCaro, Dale Drazin, Janice Farley, Skip Farley, Jill
Friedrichs, Eileen Gattas, Chris Greco, Martha Helm, Linda Hoefert, Mike Janonis, Jim
Uszler, Teresa Wolf, Laury Youngquist
Absent: Kathy Janonis (N), Paul Seils
Chairman Skip Farley called the meeting to order at 9:07 am. Linda moved to approve
the January 7, 2007 meeting minutes, and Jill seconded. The minutes were approved.
Skip Farley presented the financial report as of February 9,2007. Skip commented that
Sandy did a "job well done" soliciting business donations for the Celestial Celebration,
$11,480. The financial report was approved.
Welcome to Mount Prospect - April 28, 2007: Dale reported that we plan to combine
the Fitness Walk with the Welcome to Mount Prospect this year. She will submit a press
release to the Village by Feb. 14,2007.
Art Fair - June 23, 2007: Teresa reported that twelve applicants have applied to
participate. The guitarist from last year is returning, and will play approximately 2 hours
longer than last year with an increased fee of $650.00. The commission discussed
contributing to the Art Scholarship again this year. Della will review the 2006 meeting
minutes and report next time on our scholarship guidelines. Teresa is looking into a
business sponsor for this year's event.
Fourth of July Parade: Jill asked for ideas about this year's theme. Since it's Mount
Prospect's 90th birthday, we decided that would be a terrific theme to use. Jill let us know
she will not be in attendance at our next meeting.
Sousa Event: Martha reported that the Sousa Event is Monday, July 30,2007.
Family Bicycle Ride - September 8, 2007: Teresa reported she will be working with
the 2 bicycle shops in town on this event.
Winter Festival Parade: No report necessary.
Christmas House Decorating Event: No report necessary.
Snow Sculpture Contest: Jim reported that the Snow Sculpture Contest was the
weekend of Feb. 10-1 }th, and encouraged everyone to visit Randhurst and enjoy the event.
The Snow Sculptures will remain "standing" on the Randhurst property as long as the
weather permits.
Celestial Ban: The commission members spent a good deal of time discussing the
Celestial Ball, what went well, and possible improvements for next time.
What went wen:
1 Skip is no longer anxious about the event @
2 We received a lovely thank you note from Leo and Lil Flores, who greatly
appreciated their Lifetime Recognition A ward, and also one from Jim Weyrick
3 The Oscar theme was well received; the decorations were awesome Some
suggested the theme be utilized again next year.
4 As usual, Linda and Leo did a great job as our MCs
5 The centerpieces were stunning, and perfectly suited to the Oscar theme
6 Less crowded, up to 600 seems to be a perfect number of attendees
7 Food selection was excellent
8 The availability of photos for attendees is a nice addition
9 The programs were clever and possible the best ever
10 The nametags were great, we liked attendee's first name in the larger font
11 Sound system worked well, people could hear well in the back of the room
12 The band maintained it's high standards; we liked the BEARS theme
13 The Oscar favors added a nice touch
14 Publicity for the event created public awareness and interest
Possible Improvements for next time:
1 We need to feed the TV crew earlier in the evening
2 Add a list of Awards (not names) in the program, so attendees can follow along
3 Add a new category, "Program with the Best Mission"
4 Acknowledgement letters to all who were nominated is being looked into by Skip,
as well as letters to those who nominated the award winners, and letters to
nominees who didn't win, but are still greatly appreciated
5 Make sure the noise from the kitchen crew is as low level as possible
6 We had 125 favors left over. .. . . . . . .maybe we can improve the ordering process
7 The band took a break fairly quickly, and we lost a lot of people at that point. Can
we continue the music beyond background music to maintain interest?
All in all, many committee members felt this was the best Celestial Ball ever! Skip ended
the discussion with a huge compliment to the committee members, thanking us for our
involvement, and coming through in "marvelous fashion."
Other:
Jim mentioned that the Candidates Forum would be held at the Village Hall on Feb. 24th,
from 9 AM to noon.
The meeting was adjourned at 10:20 am.
