Information
Sealed • for • tree trimming were opened on December 17, 2018. Prices were sought for trimming trees in areas duc
for • pruning • • five-year cycle in 2019 and 2020. Prices were also solicited • emergency tree • in the event • a
major storm. Finally, the bid documents include a provision that will allow the contract to be extended one (1) year if both thc
contractor and Village agree. The proposed trimming areas are depicted in the attached maps.
Bid Results
Thirteen invitational bids were mailed and the bid was placed on the Village's website. Five (5) bids and one (1) "no bid letter"
were received. The bid results for trimming an estimated 4,060 trees in 2019, and 3,415 trees in 2020, plus an estimated 20
hours of emergency work, were as follows:

The low bidder, R. W. Hendricksen, has worked successfully for the Village in the past. Past projects include tree trimming
(1994-2002f 2007-2008 and 2016-18) tree removals (2001-2002), and storm damage clean-up (2007 and 2018). Additionally,
R.W. Hendricksen has submitted numerous references from neighboring municipalities indicating the firm is experienced and
well-qualified to complete this proposed contract. It is the opinion of staff that R. W. Hendricksen is the lowest cost, responsivc
bidder for this work.
Tree quantities and sizes utilized in the bid documents are estimated and can vary based on found field conditions and weather,
as could the total number of hours for emergency services. Therefore, staff recommends awarding a contract for the budgeted
amount for contractual tree trimming, which is $191,000.
Alternatives
1. Accept lowest cost, responsive bid for parkway tree trimming.
2. Action at discretion of Village Board.

Staff recommends that the Village Board accept the lowest cost, responsive bid for the 2019 and 2020 parkway tree trimming
contract in an amount not to exceed $$191,000 in 2019. Expenditures in 2020 will be limited to the amount authorized for this
purpose in the annual budget. Staff also recommends that the Village Board authorize a one (l) -year contract extension (2021)
if performance is satisfactory and the contractor agrees to hold pricing.
