Information
In the current budget, there are funds available to replace pickups 2736 and 4542. These trucks are 2005 Chevy and
Ford 2 wheel drive, 3/4 -ton pickups. Currently, both are regular cabs with pickup beds. They are used by the Public
Works Department for transportation, hauling supplies/tools, towing trailers/equipment to jobsites throughout the Village.
These vehicles have been evaluated utilizing our detailed comprehensive replacement policy. This policy uses a point -
based criterion that rates each vehicle replacement candidate by four (4) major factors including age, mileage, repair &
maintenance (R&M) cost, and condition of the body/mechanical components. A point total equaling or exceeding eleven
(11) out of sixteen (16) indicates that the vehicle should be replaced.
These vehicles scored in a range between fourteen (14) and fifteen (15) points indicating replacement is warranted. The
vehicle condition evaluation forms and summary reports for each vehicle have been attached. Additionally, a life cycle
cost analysis has been performed which identifies total ownership cost for each vehicle.
Recently, Mercury Associates, Inc. performed a study on Optimal Vehicle Replacement Cycle Analyses for several of our
fleet asset classes, including 2 -wheel drive pickup trucks. The result of their analysis indicated the optimal replacement
cycle for our 2 -wheel drive pickup trucks is at year ten (10) and further recommended replacing after eight (8) years
based on vehicle complexity and efficiency.
If the service life is extended, each vehicle will require the expenditure of $7,700 - $8,700 as shown on each Exhibit A.
Staff has evaluated the need for continued use of the regular pickup bed on 2736 and has determined the use of a
service body will be more appropriate. We have an existing pickup (4529) with service body that has recently been
replaced and can reutilize/refurbish the body and install on new the 2736 pickup frame. 4542 will be a like -kind
replacement.
The Village is a member of the Northwest Municipal Conference (NWMC) which has available a Suburban Purchasing
Cooperative (SPC) 2017 Joint Purchasing Pickup Contract #142 for these vehicles. This contract is publicly bid and
satisfies the procurement requirements of the Village of Mount Prospect Purchasing Policy.

Deliveries of the new vehicles are expected to be within ninety (90) days of the purchase order, The new vehicles will be
inspected by the dealer in Frankfort before being driven to our location for acceptance.
Alternatives
1. Accept Suburban Purchasing Cooperative joint bid results for the purchase of two (2) new Ford F-250 pickup trucks.
2. Action at discretion of Village Board.
Staff Recommendation
Staff recommends that the Village Board accept the Suburban Purchasing Cooperative (SPC) bid results for the purchase
of two (2) new 2017 Ford F-250XL, 2 -wheel drive Pickups from Currie Motors, of Frankfort, Illinois at a cost not to exceed
$52,611.
Funds for this proposed purchase are currently 100% funded through the Vehicle Replacement Fund and are available in
the 2017 budget.

What is the price difference between 2736 and 4542 replacements (cab & chassis vs cab with pickup bed)? It only saves
$650 to remove the pickup bed.
