SUBJECT: RFP RESULTS FOR ELEVATOR MAINTENANCE ($10,560)
Background
The Village of Mount Prospect owns and operates four (4) passenger elevators. The elevators
are located at Village Hall (50 S. Emerson Street), Village Hall Parking Garage (30 S. Emerson
Street), Public Safety building (112 E. Northwest Highway) and Fire Station 14 (2000 E.
Kensington Road).
To ensure safe and efficient operation of these elevators, periodic professional maintenance,
testing, and monitoring is necessary.
In order to secure these services, staff prepared a request for proposals (RFP) seeking
technical and cost proposals for quarterly preventative maintenance, remote monitoring, and
required State of Illinois annual inspections over a three (3) year term.
In September 2015, staff distributed four (4) RFPs to reputable firms that provide elevator
maintenance services. All four (4) vendors submitted proposals. All proposals were completed
correctly and met specifications. The results are listed in the table below:

Discussion
Individual meetings or conference calls were conducted to ensure that the company had good
understanding of the specifications and village expectations. After completing the interviews
and calling all references provided, staff has determined that Otis Elevator Company provides
the best solution for the village.
Otis Elevator is familiar to the village having provided similar services in the past. Their work
has been of good quality and responsive. In addition, all references contacted indicated that
Otis has performed satisfactory work and would recommend using them again.
Otis Elevator submitted the lowest cost proposal of the four firms submitting pricing with a first
year cost of $10,560 and a total contract cost of $33,290.
Recommendation
I recommend award of a three (3) year contract to Otis Elevator Company. Year one will be in
an amount not to exceed $10,560. Year two (2) and year three (3) in the amount that is
appropriated in the 2017 and 2018 budgets. The total expenditure over the three (3) year term
will not exceed $33,290.
