Information
Bids were recently opened for weekly turf mowing 75 publicly owned sites throughout Mount Prospect. The
scope of work includes approximately 29 acres (1,249,712 SF) of turf. Bidders submitted a weekly cost to
mow each individual site.

17 invitational bids were mailed, a notice was published in a local newspaper, and the bid was advertised
the Village website. Four (4) bids were received. The results are indicated below: I
The lowest bidder, Alvarez Landscaping, has not worked for the Village of Mount Prospect before. Howev

submitted and found that they have consistently completed projects of similar scope and scale with good
results.
We currently expect 38 weekly mowings per year, but we have the ability to add or subtract mowing as
determined by turf growth. We also have the ability to add or remove sites from the contractor's
assignment list if we wish., It is feasible we may increase the number of mowing sites or size of the sites.]

Therefore, staff requests that the bid award include a small contingency, in the amount of $2,393.98, in t
event that additional mowing sites are needed. I
Alternatives
1. Accept lowest bid for 2017-2018 Turf Mowing Contract as submitted by Alvarez Landscaping from
Barrington, IL., in an amount not to exceed $50,000.
2. Action at discretion of Village Board.
StatV Recommendation
Staff recommends that the Village Board accept the lowest cost bid for the 2017-2018 Turf Mowing Contract
and award a two (2) -year contract to Alvarez Landscaping in an amount not to exceed $50,000 in year one
(1). Year two (2) will be in an amount appropriated in the 2018 budget. If year one (1) and two (2) are
successful, and a contract extension is agreed to by the Village and the contractor, year three (3) will be in
the amount that is appropriated in the 2019 budget.

I can see the board asking why the second lowest bidder is about 78% more than the lowest bid or why is
the lowest bid and high bid so far apart.
Executive Content
Ali items under Consent Agenda are considered routine by the Village Board and will be enacted by one
motion. There will be no separate discussion of those items unless a Board member or member from the
audience so requests, in which the item will be removed from the Consent Agenda and considered in its
sequence on the agenda.
