HomeMy WebLinkAbout03/01/2014 SEC MinutesMount Prospect Special Events Commission Minutes of March 1, 2014 Mount Prospect Village Hall Roll Call Jill Friedrichs, Christina Greco, Kathy Janonis, Mike Janonis, Paul Seils, and Teresa VanOpdorp Absent Sandy DiCaro, Linda Hoefert, Liz Stone, Fred Steinmiller and Tarina Wimmer Guest Janice Farley Call to Order 9:03 a.m. -Paul Seils thanked members for taking care of the 2013 House Decorating Final Judging in his absence. - Christina Greco thanked members for the care and concern of her health and working with her kids (volunteers) at the Celestial evening. Secretary's Report Motion to approve Minutes of January 4, 2014 made by Christina Greco, seconded by Kathy Janonis. No discussion held. Motion approved unanimously. Citizens to Be Heard No citizens in attendance. Financial Report Discussion will be held under each report. New Year's Eve Eve The event has never ended with a profit. This year NYEE made $114.40 due in large part to the generous donation by the Mt. Prospect Park District of the "fixings" for the Ice Cream Bar including the ice cream. Celestial Celebration Teresa VanOpdorp gave a brief overview of the finances for the event. There is still an outstanding bill for the awards that needs to be paid along with ticket refunds to Sandy DiCaro and Jill Friedrichs. The ticket price for the event has been $45. for several years. When there are enough members for a quorum Teresa would like to propose raising the ticket price to reflect the rising costs of the event. Those that volunteered and workers of the event appreciated the "hospitality" room food set -up; much better than in past years. It also makes more sense economically, the cost this year was $130. total v $45. per person per meal. Due to a nonfunctioning television a discount was given on the rental. Other discussion included: - raffles, menu, music was all good -first time attendees will be attending future celebrations - tablecloths: put good cloths on the day before not the tattered display tablecloths - parking was an issue because of the snow, PW did a fantastic job with what they did - elevators and bathrooms need to be clearly marked, spread word and make signs -the floor plan this year was fantastic, were able to get four more tables in this year - Teresa made sure money was received at the same time a reservation was, this saved time and energy asking for monies after the event - Seating was first come /first served and worked well - centerpieces from Paul Seils were beautiful. There were problems with some late comers trying to take centerpieces. All but a few vases were returned to Paul. -there was some sort of problem with having enough wine glasses for the evening, were taken off tables then returned -wine glass possible solution — buy wine glasses in bulk and order charms for every year — would also act as a favor - Coffee service solution — have two coffee bar stations in the back of the room Other Business None Adjourn 10:25 am Respectfully submitted, Jill M.
