HomeMy WebLinkAbout06/11/2013 SCC Planning Committee MinutesMount Prospect Sister Cities Commission French Visit 2013 Planning Committee Minutes June 11, 2013 Attendance: Paula Randant, John Sibrava, Skip Farley, Janice Farley, Arlene Juracek, Judy McGinnis, Lorie Huber, Diana Sahakian and Mary Ann Sibrava, Rachel Toeppen, Irvana Wilks. I. Meeting called to order at 5:35 PM by Chair Paula Randant II. Minutes were approved. Ma III. Citizens to be heard: No one J IV. Discussions a. Housing- Judy Thorne Host families have been chosen. Our guests arrive at 1:30 at O'Hare; they will be picked up on Village Bus and come to Village Hall for welcoming reception and to meet their host families. No change Judy out of town. b. Bosch Tour -Paula Randant Paula met with Georgia Mitchel the manager of PR at Bosch in MP. There may be a change in lunch so everyone can be included. Will follow up in July. c. Daily Herald Tour - Janice Farley Transportation will be Village bus and cars. The Daily Herald visit will be Monday around 10AM and will be at two sites and lunch at Pilot Pete's. Pilot Pete's is at the Schaumburg Airport. Timing approximately 10 to 130. Will need transportation. Need count of attendees. d. Randhurst Tour and visit — Irvana Wilks and John Korn John will follow up with Randhurst management to plan visit approximate time 4pm and it will end with dinner probably at Black Finn. Need count of attendees. e. Trip to Chicago -Gary and Paula Randant Need count of attendees to make reservations ana purchase tickets. 9/18/13 Train to Chicago approx. 815, water taxi to Michigan Ave. to pick up Wendella at 10:15. It is a 90 minute tour. After tour walk to Hancock Building for lunch at the Signature room at about 12:15. Plan to meet walking tour guide at 2 PM at Hancock for approx. Walking tour will end around 3pm. Reservations to be made with count. f. French Market general discussion: Judy Thorne, Barb VanArsdale working on event with Marianthi. g. Picnic after market -John Sibrava -Lions Park will be the location and we will use the Band shell for dancers. John has full hour by hour schedule. Mark Thorne, Rafi Sahakian, and John Korn will assist with barbecues and cooking. Gas grills will be provided by Lions Club. Need count to order food. Dan Serio pledged meat including burgers, chicken, hot dogs and ribs as a donation. There is a $50 trash clean up fee. Discussion of tables. Park District has picnic tables available. Group voted to have tables, John will follow up with Park District. h. Western dancing- Denise Rano Western square dancing entertainers have been confirmed at $100. for the caller. They requested a letter of confirmation and Denise has provided them a letter. They are very committed to the event and demonstrating /teaching the French visitors to dance. Total time about an hour with dance demonstration and teaching lesson for 20 -30 minutes. Plan stands. i. We have two school visits. We will visit the Mount Prospect Child Care Center with Michael Davey on Tuesday 9/17 at 9:15 am. We will also visit River Trails Middle School on Thursday 9/19 at 10am for about an hour. We will meet at village hall for transportation. Paula arranging these events. j. Visit to Villas at Sevres -Skip Farley The timing of this event was changed to Monday as owner will be out of town on Tuesday. We will visit after lunch at Pilot Pete's prior to Randhurst tour. k. Reception at Library -Mary Ann Sibrava Reception Monday at 730 PM open to community to meet our quests. May have speaker. Plans being worked on. I. Community Center on south side Mary Ann developing. Will have limited number our 15 French guests and a few hosts as location is small. Mary Ann arranging a program. m. Welcome and departure events: Village bus and van will pick up guests and their luggage and bring them to the Village Hall for welcome reception with host families and commission members. Guests will go home to dinner with their host families. Judy T. and Paula to arrange. Departure day afternoon will be free with Dinner at Village Hall about 5:30 and departure to the airport around 7:30. n. Materials, welcome packets and translations, Denise Rano and Judy Thorne short discussion, no decisions yet. Judy McGinnis to help as well. Work with Doreen for information. o. Gifts for guests, Janice Farley - an imprinted portfolio was shown by Janice with 15 to 20 required. Widely admired and estimated cost $25. Janice found lovely garden butterfly as town to town gift. She brought it and it was reviewed and accepted. We will also contact Rainbow Hospice to see about displaying butterfly ceramics during the week of the visit. p. Chicago walking tour will be at 2pm with French speaking tour guide. It will be an hour then we will head to water taxi and train. Denise Rano event in place. q. Meals and time with Host families. Discussed. Tuesday dinner as we have all evening we began discussing restaurants in town and who might provide a special event. Paula and Gary will check with Retro Bistro and the kampaii and we will discuss further. r. Community Dinner at Victoria on the Lake 9/18 7PM cocktails begin. Plans in process with Paula and Doreen. Date reserved with Victoria. Plans to follow. Irvana will work on cost and availability of Seal paper weight as favors, Lorrie working on candy favor and Judy McGinnis will assist. Judy M and Irvana will ck with Doreen on name tags and lanyards. V. All events to bring budget numbers so we can make a budget. Please come with written numbers. VI. Community involvement- Announcements will be made in the village newsletter. There will be 3 events Sunday at French Market around 11 to chat with French Market participants. Monday evening Library reception 7:30 open to Public. Wednesday evening Dinner with Community invited at Victoria on the Lake. Presentation of gifts /awards etc. VII. Miscellaneous: need counts for all events to proceed with finalization or reservations and cost. Some discussion of Capanari's but no resolution. VIII. Plan next meeting date chosen 7/9/13 at 5:30 in Village Hall. IX. Meeting adjourned at 7:00PM. Respectfully Submitted, Paula Randant
