FIGOLAH, FIRE CHIEF DATE: SEPTEMBER 13, 2002 SUBJECT: STATION 12 RENOVATION - BID RESULTS Back,qround Renovation of Fire Station 12.is scheduled tO begin October 1, 2002 pending Village Board approval. Earlier this year the Village Board approved the hiring of Nepco, Incorporated, and Sente & Rubel architects for this project. Both companies developed a project manual in a coordinated effort. This manual included the bidding and contract requirements, instruction to bidderSl and a schedule of drawings for the project. The bid documents were for the following trades: · Acoustical Ceiling · Concrete · Carpentry · Drywall · Electrical · Flooring · Fire Protection · Heating Ventilation and Air Conditioning a Painting · Plumbing · Roofing H:\~tation 12 Remodeling~Station 12 Renovation - Bid Results.doc TO: VILLAGE MANAGER SUBJECT: Station 12 Renovation - Bid Results September 13, 2002 PAGE 2 Bid Results On Thursday, September 5, 2002, at 10:00 AM, sealed bids were opened and read aloud. A total of 36 bids were received for the trades. A copy of the bid results is attached to this memo. Recommendation Nepco, incorporated and Sente & Rubel reviewed and discussed bids with each Iow bidder for conformity to the contract documents. Newgrom Construction's bid for carpentry was not inclusive of the entire scope of work and therefore found non-responsive. In all other cases, the Iow bidder was recommended. Inc. $66,233 RoOfing Crowther Roofing ' $66,900 Total ~ ' $743,587 It is recommended that the Village Board allow Nepco, Incorporated, as the Village's agent, to enter in to an agreement with the above contractors. I am further recommending the Village Board allow staff the authority to consider utilizing a 2% contingency for change orders as they may arise. The inclusion of the 2% contingency ($14,871.74) and the proposed contractor cost falls within the anticipated total project amount ($1,060,532). Final payment and partial payments for the above contractors will be brought before the Board for payment approval. MF/jm Attachments
