HomeMy WebLinkAbout08/27/2011 SEC MinutesMount Prospect Special Events Commission Minutes of August 27, 2011 Roll Call Dawn Fletcher Collins, Sandy DiCaro, Janice Farley, Jill Friedrichs, Eileen Gattas, Christina Greco, Sylvia Haas, Martha Helm, Linda Hoefert, Mike Janonis, Fred Steinmiller, Teresa VanOpdorp, Jim Uszler and Tarina Wimmer Absent Kathy Janonis and Paul Seils Call to Order 9:01 a.m. Secretary's Report The Minutes from July 2, 2011 were e- mailed with copies available at this meeting. Motion to approve the Minutes from July 2, 2011 was made by Eileen Gattas, seconded by Sandy DiCaro. No discussion was held, motion approved unanimously. Treasurer's Report Mike Janonis distributed financial reports for the Special Events Commission. Members reviewed and one correction, the fee for Michael Golema the Sousa director, should be $450. Motion to approve Treasurer's Report with correction was made by Michael Janonis, seconded by Sandy DiCaro. No discussion was held, motion approved unanimously. 4 t " of July Parade Jill Friedrichs reported that the parade was a success. The full budget was expended for music and /or entertainment groups. A welcome addition to the parade, a stilt walker was secured by Sandy DiCaro (her painter). Jill and Mike Janonis talked about the letter that was sent to all participants regarding the throwing of candy. A lengthy conversation was held by commission members regarding the banning of candy at future parades. It was decided to try one more year and next year send out candy and water guidelines on a colored paper and possibly remove participants from parade if violation is witnessed. Do It Yourself Sousa Martha Helm reported this was the largest attended Sousa event to date. 720 American flags were received and all were passed out to audience members. Note for next year, order 1,000 flags and print 1,000 programs. A miscommunication occurred with the bottled water, there wasn't enough for participants. There are 70 to 80 regular band members and an additional 42 registered for the event. Next year Martha and Fred Steinmiller will communicate directly for water needs. Susan G. Koman 3 Day Walk for the Cure Adopt -A -Block Tarina Wimmer stated that several letters were received from walk participants. 40 groups signed up to participate with approximately 50 groups actually taking part the day of the event. A Certificate of Appreciation was received from the Susan G. Koman organization. It was suggested that there needs to be more garbage cans at River Trails Park District. Also, next year at the Celestial Celebration donations from the Silent Auction will be directed to the Susan G. Koman 3 Day Walk for the Cure Adopt -A -Block working fund. Bike Ride Teresa VanOpdorp and Christina Greco reminded members of the rain that affected the Bike Ride. Mike Janonis advised the group that he will be working with the fire department on an Incident Action Plan for future events. For future reference it took three hours to set the course with markings. Because of the rain, the raffle after the event did not happen. There are 250 shirts left this year and another 250 will be ordered for the event next year. Another note for next year, one police officer is needed for Central Road. Celestial Celebration 2012 This year the event will be formal and will boast a prom theme. Bristol Court has acquired a photo booth for picture taking. The cost we have been quoted by Bristol Court is $32. per person and ticket prices will remain $40. A job list from last year was handed out and a list for 2012 was created. Linda Hoefert has resigned from speaking at the event. Teresa VanOpdorp will contact Gary Klein at Sound Q Productions for the audio needs. Shining Star winners will be scheduled to arrive for pictures at 5:00 with the event officially starting at 5:30. New Business Jim Uszler resigned from the Mount Prospect Special Events Commission. Next Meeting Scheduled for October 1, 2011. Adjourn 10:25 a.m. Respectfully submitted, Jill M. Friedrichs
