Prospect Special Events Commission Meeting Minutes November 4, 2006 Attendees: Sandy DiCaro, Mike Janonis, Kathy Janonis, Jim Uszler, Della Baldwin, Chris Greco, Jill Friedrichs, Paul Seils, Teresa Wolf, Dale Drazin, Janice Farley, Skip Farley Absent: Martha Helm, Eileen Gattas, Linda Hoefert, Laury Youngquist (All absent were N) Chairman Skip Farley called the meeting to order at 9:04 AM. The minutes of October 7, 2006 were approved. The financial report as of October 31, 2006 was presented by Mike Janonis. A motion was made by Jill and seconded by Kathy to approve the financial report. The motion was passed. Do- It- Yourself Sousa: No report. 4th of July Parade: No report. Bicycle Ride, October 14, 2006: Teresa reported that 130 riders participated in the October 14 Bicycle Ride. She expressed concern that participation in this event has declined every year. The commission talked about ideas for increasing interest from the ® community. Can we change the timing of the event, and hold it in August? Can we combine the event with other attractions, such as a mascot race or display of bicycle maneuvers? The commission agreed that we are still interested in supporting this event, and will explore ways to increase participation for 2007. Winter Parade: Mike reported that the village has received interest from 27 groups that will be participating in the 2006 Winter Parade, which will be held on December 2, 2006 at 5 PM. This is slightly lower than last year at this time, so please encourage groups to participate. The Prospect Football team may be a late entry. Holiday Decorating Event: Paul reported that the block assignments for commission members will be distributed at the December 2 meeting. The Holiday Decorating winners will be announced at the December 19 Village Board Meeting. Please stay tuned for further details from Paul. Celestial Celebration XIV: Several contracts have been signed for this event, including the sound system company, the photographer and the musical band. (Ralph's contract has increased by $600.00) The meal selections have been confirmed by the Celestial Celebration sub - committee. The individual table favors are sure to be a delight, but are not being announced at this time. The commission discussed the price of admission. Although we agreed in previous meetings to raise the price to $40, two recent press releases indicated the former price of $35.00 per person. Having appeared in print, some commission members felt we should keep the former price. Other commission members felt that most attendees pay attention to the costs at the moment they are completing the invitation form and sending in their checks. We reached consensus to go with our original decision of $40.00 per person. Sandy raised the issue of donations from community businesses. We agreed that a $500 donation is preferred, but we will also accept donations under this amount. In another related topic, the nominations for Shining Stars are coming in slowly. Please be sure to send your nominations to Skip. Snow Sculpture: The Special Events Commission has been asked to contribute financially to this upcoming event. Jim moved that the commission contribute up to $300 to support the Snow Sculpture event, scheduled for January 12 -14th at Randhurst Mall. Sandy seconded this motion and it was passed by the commission members. Welcome to Mount Prospect: Dale reported that letters to the vendors have been mailed to notify them there would NOT be a "Welcome" in October, as well as to notify them we are planning one in the Spring, possibly under a slightly different format. Dale recently attended the Olympia Fields Welcome and liked their format. We discussed the possibility of revamping our program in order to encourage more participation among new community members. No decision was made at this time. Other: Skip inquired about a receipt from Parry City for $8.98 dated 4 -21 -06 and wondered if anyone was waiting reimbursement for this expense. The purchased items were silver balloons for Leo and Lil's farewell party. No one claimed this expense so the receipt will be discarded. The meeting was adjourned at 10:04 AM.
