Adjournment Mount Prospect Special Events Commission Meeting Minutes- Saturday, September 11, 2010 CALL TO ORDER: Dawn Fletcher Collins called the meeting to order at 9:06 a.m. Present: Dale Draznin, Jill Friedrichs, Eileen Gattas, Kathy Janonis, Mike Janonis, Fred Steinmiller, Jim Uszler, Teresa VanOpdorp Absent: Sandy DiCaro, Janice Farley, Christina Greco, Martha Helm, Linda Hoefert, Paul Seils APPROVAL OF MINUTES: Motion made by Mike Janonis to approve the minutes from the August 7, 2010 meeting, seconded by Kathy Janonis. FINANCIAL REPORT: Financial Report presented by Mike Janonis. Discussion held that revisited parade expenses and actual expenses for Family Bike Ride. A motion made by Jill Friedrichs to accept the Financial Report as presented. CURRENT BUSINESS: - - Teresa VanOpdorp reported the success of the August 28 Family Bike Ride. There were 450 riders, 300 pre- registered. Emphasizing an earlier cut -off date was beneficial. Estimating increase in riders for next year, will go back to ordering 500 tee shirts. Discussed the many positive aspects of the day. Teresa shared the comments from the event follow -up meeting with MPPD Officers Sill and Bechtold. Additional volunteers for future years' planning as well. - - Celestial Celebration ideas were discussed for the "tropical ", "paradise" themed event on February 5. Sign -up sheets were passed around. Commission members who were absent from this meeting signed up prior to meeting via email. Dawn met with Dave from Bristol Court and shared comments from that meeting. Kathy Janonis reminded that we were under budget last year and we will most certainly be again this year. Commission discussed details /ideas and will be continued at the October 2 sub - committee meeting. Possibilities for naming the event included: "Shining Stars in Paradise ", "Stars in Paradise ", "Paradise with the Shining Stars ". Sub - committee meetings for Celestial will take place immediately following the regular SEC monthly meetings (1 Saturday of the month). NEW BUSINESS: -- Meeting dates for the remainder of 2010 provided. Reminder: Paul Seils will discuss the Winter Decorating Contest at the November meeting. - -Dale Draznin relayed the possibility of a presentation by the MPPL of using Wiki as an email communication tool for the SEC correspondence. Discussion held. Commission has interest and Dale will update via email if this is available for the 10/2 SEC meeting. - -Open Meeting Act and the posting of agenda's for all our meetings (including sub - committee for Celestial) was discussed. We are already doing it. - -TEAM SEC: Dawn offered assistance and asked for ideas to increase openness at meetings and there was a very productive discussion that took place between all Commission members. -- Regarding "minutes" taken at SEC meetings; any Commission member may volunteer to take minutes at any SEC meeting and it will be appreciated. September 01, 2010 Page 1 of 3 camiThr MOUNT PROSPECT YOUTH COMMISSION MINUTES CALL TO ORDER Chairman Pro Tem Nora Gawlik called the September 01, 2010 Youth Commission meeting to order at 7:06 p.m. in the first floor training room of the Police and Fire Headquarters, Mount Prospect, Illinois. ROLL CALL Secretary Cindy Rumore called the roll. APPROVAL OF MINUTES Rabia Memon, seconded by Delanie Steinweg, moved to approve the Minutes of the June 02, 2010 Youth Commission meeting. Motion carried by unanimous approval. Michael Boivin, seconded by Oliver Khairallah, moved to approve the Minutes of the July 07, 2010 Youth Commission meeting. Motion carried by unanimous approval. Michael Boivin, seconded by Delanie Steinweg, moved to approve the Minutes of the August 04, 2010 Youth Commission meeting. Motion carried by unanimous approval. VISITORS TO BE HEARD Mayor Irvana Wilks attended and advised she had sent a letter to area school principals at Prospect High School, John Hersey High School, Saint Raymond Catholic School, Saint Emily Catholic School, Saint Paul Lutheran School, Lincoln Middle School, and River Trails Middle School for recommendations of students for the Youth Commission. Guest Kevin Druffel, to be appointed to the Youth Commission on September 07, 2010, joined in with the meeting discussion. YOUTH COMMISSION ELECTIONS Youth Commission members discussed when to conduct Youth Commission officer elections. After an in depth discussion, members agreed to proceed with the officer elections for the 2010 — 2011 year at the meeting. Congratulations to the 2010 -2011 Youth Commission officers: Adam Kiel — Chairman Lindsay Boivin — Co- Chairman Jaclyn Stassen — Treasurer Nora Gawlik — Historian Mayor Wilks discussed the possibility of adding the position of Parliamentarian to Youth Commission officers. Members to discuss the Parliamentarian position at the October meeting. ISSUES COMMITTEE: Officer Anthony Addante, Adult Advisor, George Clowes, Adult Advisor The Issues Committee did not hold a separate meeting in August. September 01, 2010 Page 2 of 3 MOUNT PROSPECT YOUTH COMMISSION MINUTES YOUTH RESOURCE CATALOG COMMITTEE: Steven Polit, Adult Advisor, Patti Walpole, Adult Advisor Nora Gawlik, Adam Kiel, Rachel Otte, Merrily Ruetsche The Youth Resource Catalog is now available at the Mount Prospect Public Library. Translation of the Youth Resource Catalog to Spanish to be discussed at a future meeting. Adult Advisor Steven Polit encouraged members to distribute the Youth Resource Catalog at the Farmer's Market on Sundays through October. PUBLIC RELATIONS COMMITTEE: David Schein, Adult Advisor Rabia Memon, Alex Oplawski, Delanie Steinweg Adult Advisor David Schein, through e -mail, advised the Youth Commission display board is currently being displayed at the Community Connections Center. ADMINISTRATION COMMITTEE: Cindy Rumore, Secretary Secretary Cindy Rumore advised the Youth Commission budget balance is $538.97 as of August 31, 2010. Members discussed the mailing and emailing of Youth Commission documents. Members requesting to continue to receive documents by mail were: Rabia Memon, Merrily Ruetsche, Jaclyn Stassen and Delanie Steinweg. OLD BUSINESS FOOD PURCHASE ROTATION Merrily Ruetsche volunteered for the food purchase for the October meeting. NEW BUSINESS YOUTH COMMITTION SPECIAL MEETING Michael Boivin, seconded by Delanie Steinweg, moved to have the Youth Commission Special meeting on September 15, 2010. Motion carried by unanimous approval. MOTION TO ADJOURN Adam Kiel, seconded by Merrily Ruetsche, moved to adjourn the September 01, 2010 meeting. Motion carried by unanimous approval.
