ACCEPTANCE OF MINUTES OF THE STRATEGIC PLANNING WORKSHOP OF FEBRUARY 10, 2009 III. CITIZENS TO BE HEARD IV. ERP PROJECT MANAGEMENT CONSULTANT RECOMMENDATION The Village currently utilizes a suite of software applications to administer its general ledger, payroll, accounts payable, utility billing, accounts receivable and other financial management systems. In addition, there are several other third-party and internally written programs that assist the Village in managing its various business processes. The main suite of programs is over 10 years old and has reached the end of its useful life. Connectivity and similar obsolescence issues are also apparent with the third-party and internally written programs necessitating their replacement as well. The 2009- 2013 Capital Improvement Plan (CIP) identifies budget needs for the replacement of this software. In 2009, there are funds budgeted in the Capital Improvement Fund for the hiring of a project management consultant to take the Village through the steps of selecting and implementing the new software. The Finance Department utilized a Request for Proposal (RFP) process for the selection of a project management consultant. RFP's were distributed to 12 firms showing interest in the engagement. Five proposals were returned by the submission deadline. Interviews that included representatives from the Manager's Office and IT and Finance Departments were held and reference calls made to determine the most qualified firm for the project. Included with this packet is a detailed memo of the selection process and consultant firm recommendation. Staff will make a presentation of the materials and be on hand to answer questions and facilitate discussion. V. MANAGER'S REPORT . Status VI. ANY OTHER BUSINESS VII. ADJOURNMENT
