FIGOLAH, FIRE CHIEF DATE: AUGUST 20, 2007 SUBJECT: VHF RADIO PROGRAM BID RESULTS General Bid Information On August 6, 2007, at 10:00 AM sealed bids were received for the replacement of the fire department's VHF mobile and portable radios. At this time, the sealed bids were publicly opened and read aloud. The VHF radio purchases involve equipment that is used to communicate with neighboring fire departments that do not share our Northwest Central Dispatch radio system (Des Plaines, Prospect Heights, Glenview and Elk Grove Township) and to communicate on a common radio system to other units on large extra alarm incidents throughout the state of Illinois. A few significant issues require their replacement: . Age of the units (some in excess of 20 years old) minimizes repair part availability. . New interoperability guidelines require more channels on each radio. . Changes in communications technology require the potential for digital communications and narrowband capabilities. We currently have two different model VHF portables and VHF mobiles in use. This plan will provide thirty-four (34) Motorola PR15500 portable handheld radios and nineteen (19) Motorola PM1500 mobile vehicle mounted radios. Summary of Bids Received Six contractors received invitational bids and advertising was placed in the local newspaper. Four contractors submitted bids: Alpha Prime Communications, Communications Direct, Chicago Communications and Motorola. No bids were received from Bucom Communications and Radco Communications. Communications Direct has provided several satisfied municipal references for similar work. Budget Authorization There is $48,000 allocated in this year's budget on page 291 in account #5107701-670018 for the VHF Radio replacement project. The additional $4,860 will come from the Operations Budget account #0014205-670018, Radio Equipment - Fire. MF /jm
