HomeMy WebLinkAbout02/13/1999 SEC minutes MOUNT PROSPECT SPECIAL EVENTS COMMISSION Minutes of the Special Meeting Saturday, February 13, 199 9:00 a.m. Cafeteria, Village Hall ATTENDING: Elmer Blasco, Dale Draznin, Steve Durlacher, Corky Dunn, Leo Floros, Lil Floros, Jill Friedrichs, Linda Hoefert, Laura Luteri and Laury Younquist Absent: Della Baldwin, Janice Farley, Martha Helms, Mike Janonis, and Terri PistOne I. The meeting was called to order at 9:06 a.m. by Lil Floros, Co-Chairman. II. Celestial Celebration VI. The chair thanked everyone who had worked so hard to make the 1999 Celestial Celebration the best ever. A. The band - the consensus was that the band was an excellent band, but perhaps it..,' was the wrong type of band to use at this kind of event. The band committee wilt::'. investigate bands which will be available for next years banquet. . . B. The chair called for all outstanding bills to be. submitted for reimbursement. C. Decor - the table decorations were lovely and compliments were given to Busse . Flowers. It was reported that there was a major concern about having low candles on the tables. It was strongly suggested that we do not include open flames in the table decorations in future. D. The Mount Prospect Community Band Brass Ensemble performed before the dinner and did a very nice job. E. The decorations at the entrance were very nice and compliments were given to Linda and Laury and their helpers. F. The chair thanked Jill for the lovely name tags and to Terri Pistone and Debbie Carlson for manning the name tag table. G There was a problem again this year with the formal photographer coming too late. It was suggested that a new photographer be found for next year. H. Compliments were given to Leo and Laura about the presentation of the awards. Several people commented that the program was just the right length this year. I. The Trivia Quiz was well received. Thanks went to Steve Durlacher who did a very nice job and was able to smoothly cover when the screen was removed prematurely. The people seated at the winning table were very pleased with the lottery tickets they received as prizes and were happy to report that a number of winning tickets had been redeemed. J. The Albums as table favors were well received. It was noted that there were no pictures from the River Trails Park District or Elementary School District 26. This was an unfortunate oversight. K. The cameras which were placed on each table were well received. Keefer's Pharmacy was so pleased with the publicity their participation in the banquet afforded that when the films were presented for developing, they were processed at no charge. It was suggested that a special letter of thanks be sent to Keefer's. L. There were several comments about the service of the banquet hall. It was the consensus that perhaps 750 people exceeds the number that Bristol Court can comfortably accommodate. It was suggested that the number of tickets for next year's event be limited to 700. Bristol Court has promised not to use folding chairs next year. M. The menu was well received and compliments were given for the clever names given to the foods on the menu. N. The Chair read thank you notes which had been received from several members of the community. II. Veterans Memorial Band Shell Dedication Leo Floros led a discussion and brainstorming session concerning the Commission's participation is the Dedications Ceremonies for the Veterans Memorial Band Shell. A distinction was made. There are two events taking place at once. The Memorial Day Event which consists of the parade and the ceremony traditionally held in Lions Park after the parade. The second event is the ceremony to dedicate the Veterans Memorial Band Shell. The consensus was that the Veterans organizations will be In charge of the parade as usual. The Special Events Commission saw its role as coordinating the Dedication Ceremony Event. Motion: It was moved and seconded that the Special Events Commission indicate to the Veterans Memorial Foundation Board that the Special Events Commission is ready to assume total responsibility for the Veterans Memorial Bandshell Dedication Ceremonies. '.~. Ayes: All Nays: None Motion Carried. . A. The Dedication Ceremony will take place on Memorial Day immediately after ihe1~if ' . traditional Memorial Day Parade. It will take place in Lions Park and, hopef.ully, in tl1~(. Veterans Memorial Band Shell itself if the construction is completed in time B. It was suggested that the Mount Prospect Community Band, the Mount Prospect Community Chorus, and the Prospect High School Marching Blue Knights be asked to participate in the ceremony. It was suggested that "Armed Forces Salute" be performed by the Community Band as the flags for each of the branches Of the services are officially raised for the first time on the five surrounding flag poles. C. It was suggested that "Taps" be preformed by a trumpet trio in echo formation at the end of the program. D. It was suggested that a major speaker would bring prestige to the program. At the same time a point was made that the presence of a major speaker would bring more publicity to the speaker and might possibly detract from the ceremonies themselves. It was further suggested that speakers be limited to having only local speakers. E. It was suggested that Pastor Bill Tucker present the invocation. F. It was suggested that a large American Flag be suspended above the floor of the bands hell. It was also suggested that the Prospect High School Color Guard has a flag ceremony they might be asked to perlorm. G It was stressed that the people who have served in the armed services must playa major part in the ceremony. H. The consensus was that the "mock grave" portion of the annual celebration must be incorporated into any ceremony this year. I. It was suggested that chairs be rented to accommodate the audience. J. The question of funding was raised. It was thought that the Veterans Memorial Foundation might have some funds to pay for small expenses incurred. K. It was suggested that letters of invitation be sent to all the scouting and youth groups in the community formally asking them to attend and participate in uniform. The chair suggested that Leo, Steve and Elmer work together with Bob McKillop and the Veterans Memorial Foundation Board and come up with a working relationship to move forward on this project. X. . Adjourn - No other business being before the Commission, the meeting was adjourned at 10:06 a.m. The next meeting of the Commission will take place on Saturday, March 6, 1999 at 9:00 a.m. in the Trustees Room of the Village Hall.
