HomeMy WebLinkAbout03/03/2018 SEC MinutesMOUNT PROSPECT SPECIAL EVENTS COMMISSION MEETING Saturday, March 3, 2018 9:00 a.m. Village Hall, Village of Mount Prospect, 50 South Emerson Street, Mount Prospect, Illinois 60056 Call to Order 9:05 a.m. Attendance Jill Friedrichs, Paul Seils, Haley Schechter Winkler, Vicki Busse, Kate Kelly, Chris- tina Greco and Brian Lambel Absent Teresa VanOpDorp, Sandy DiCaro, Fred Steinmiller, Maura Drews and Lizzet Stone Witkowski Guests None Citizens to be Heard None Shining Star Recap *Tables: looked great, lovely, classy. *Set -Up: if we could have 1/2 room placed and ready to set. No food tasting by Cotillion. *Coatcheck: need two people throughout opening 45 minutes. *Award Winners: Need to be there ON time. Change where they sit for video, maybe on dance floor. *Screens: lighting on screen/in room. Were lights turned down? Maybe more of video portion. *After Awards Interview: Do we still need o do the after awards interview/video? Redundant. *Champagne: Have champagne pre-set at entrance tables. *Name-tags/place cards: set out on that center floral table, easy for SEC to know who has arrived and who is missing at a glance. *Dinner: use chimes, lights, close bar to get people to sit. *Meal: salad pre-set was great, dinner was very good and Buntini was too small - lol. *Silent Auction: had (only) two people ask about silent auction table. *$75: how many people paid higher amount? Are we seeing more people reserve earlier? *Payment: Paypal v Eventbright or any other payment site. *Dance Floor: Tom at Cotillion needs to fill in the center part of floor, front half crammed and back half you feel a disconnect. *Cigar Lady: should she be in room or keep in hallway? *Favors: No comments made about there being no favors. *Late Night Snack: Went well. Needs to be two sided and maybe on the back portion of dance floor. *Teresa's comments are added below. Adjournment 10:23 a.m. Respectfully submitted, Jill Friedrichs My wrap up.... I did not get a financial report. I honestly have no idea where we stand. I do know I bought a new back drop stand ect... made it bigger this year. So we invested in a few new pieces for the future. I do know we are missing a few of our sponsors checks. If you have a sponsor that you aren't sure turned in their money or not ask me. Canta, Mount Prospect Park District are a few of the ones. Ticket money. Please hand it in if you have not yet. (Me being one of them) The night was flawless I feel. No one even noticed or mentioned not having appetizers. I think the salad on the table right away for sure helped us stay on time. The service was great as always. We had dinner and awards done in an hour and half. That is huge for us. The awards on the videos was PERFECT! I felt more connected to the winners and understood more of their work instead of them up there just thanking us. For sure a must from this point on for the videos. I may tweak the program to give a little background of the awards so those know what a "best Neighbor" means or 'youth award" The videos are up on the village website and have only had compliments about it. The band .... of course my favorite! I need to book them now for next year if it's a go ahead for everyone. Cathi... the table set up lady. Ummmmm it's a no brainer she is worth the $400. For once I did not stay and I was out of there on time. Easier and better having the photographer ect eat with us. Less hassle on our end and they enjoyed it too. I feel over all it was the right amount of people and if we pushed it to 500 it would be enough room still. Anything over that we start to get a little crowded. Tons of new people again this year that I think we have linked in for future ones. I really think we have nailed this event and have been making great improvements to it. Very proud of us!
