Public Content Information Lexipol is a software system that provides policies that are state-specific and fully customizable based on federal and state law, regulations and public safety best practices. The software helps reduce risk and stays ahead of litigation trends, while communicating clear and concise policy guidance to personnel. It allows Fire Departments to organize, customize and train on policies and guidelines that meet current standards and best practices. It also allows all Fire Department personnel to be trained on policies and procedures that need to be in place to ensure safety and a functional work environment. Lexipol provides legally reviewed regular and urgent policy updates in response to legislative mandates, case law, and the evolution of best practices. Currently, the Fire Department’s Standard Operating Guidelines (SOG's), directives, rules and regulations, and policies are in several locations and in need of updating. This software would allow for one central web based location for all SOG's, directives, rules and regulations, and policies. It would also facilitate the updating of policies/procedures in the Fire Department to meet current standards. With this software, the Fire Department would be able to organize and track all the SOG's and policies it currently has implemented. It would also permit the Fire Department to utilize best practice and incorporate state and federal requirements. This would help the Fire Department manage policy risk and assist with the Accreditation process by delivering policies and guidelines that are consistent, easily accessible, reviewed and updated on an ongoing basis. Lexipol is utilized by 3,000 government agencies, including 340 fire departments. This played a role in our decision to look into, and ultimately decide on this service. Local agencies currently utilizing Lexipol include; Streamwood, Lake Zurich, Lincolnshire, Hillside, Northbrook, Northfield and Roselle. https://www.boarddocs.com/il/vomp/Board.nsf/Private?open&login6/6/2018 BoardDocs® ProPage 2 of 2 The funding for Lexipol is in the 2018 Community Investment Program. If the agreement is signed before December 8th, 2017, Lexipol will reduce the 2018 cost by $2,195.00 as well as extend the service for the month of December with a prorated value of $735.00, free of charge. This represents an overall savings of $2,930.00 or approximately 10%. Software implementation support costs $18,850.00 and the annual subscription fee is $8,822.00 for a total of $27,672.00. Alternatives 1. Approve the motion to enter into an agreement with Lexipol for the annual subscription service and implementation support for the amount not to accede $27,672.00. 2. Action at discretion of Village Board. Staff Recommendation Staff recommends that the Village approve the motion to enter into an agreement with Lexipol.
