HomeMy WebLinkAbout12/02/2017 Draft SEC Minutes Nom rg o W!N,)%L ` )CC, I vellts . 50 South Emerson Street, Mount Prospect, Illinois 60056, 847.392.6000 Mount Prospect Special Events Commission Meeting Minutes Date: Saturday, December 2, 2017 Time: 9:00 a.m. Location: Village Hall- Community Room 50 South Emerson Street Mount Prospect, Illinois 60056 L Call to order 9:07 a.m. Attendance: Teresa VanOpdorp, Liz Stone, Maura Drews, Paul Seils, Sandy DiCaro, Brian Lambel, Christine Greco, Kate Kelly, Tarina Wimmer, Haley Schechter Winkler, Fred Steinmiller and Jill Friedrichs Absent: Vicki Busse II. Citizens to be heard None III. Approval of Minutes Motion to approve the Minutes of November 4, 2017 made by Christina Greco, seconded by Sandy DiCaro. Motion approved unanimously. IV. Current Financial Report A. Finance should not have paid band for 2018 Shining Star event. A deposit has already been paid. B. NYEE down payment has been made. Motion to approve as presented by Teresa VanOpdorp, made by Liz Stone, seconded by Fred Steinmiller. Motion approved unanimously. V. Current Business/Recap A. Christkindlemarket—Team Leaders: Christina, Maura and Sandy—Thank you to the SEC members for all their help at the event. A lot of positive comments and a few negative. B. House Decorating —A group went out Friday, December 1st and handed in their selections. The rest of the members are to get their routes done and handed in to Paul either at the shop or via email by December 6th. Fred Steinmiller has been asked to go in front of the Board of Trustees to present plaques to the winners on December 19th. C. MPHS Housewalk—Team Leaders: Kate, Sandy and Liz —Will serve bottled water and Matt's cookies. The shifts are set. Banner will be displayed and Shining Star Gala pamphlets will be stuffed in the MPHS goodie bags. D. New Years Eve Eve—Team Leaders: Haley, Maura, Liz and Brian—Need to order a few things (noise makers and crowns). To date approximately 150 tickets have been sold. There is a $2,000 sponsor(Nicholas and Associates). Expenses to date are: DJ/MC and Dancers $1,200; Magician $350; there is approximately $400 left in the budget and items to remember go toward that cost are tickets and a banner. Going to ask Safari Childcare to apply tattoo's. E. Celestial Celebration 2018 —The SEC has received numerous nominations, a group from the SEC along with 2 residents will be asked to form a selection committee to select this years winners. The cigar lady will once again be rolling and selling cigars. There will be no wine grab and no auction but there will be an open bar. Need to start asking sponsors with a total sponsor budget of$15,000 Teresa will put together this years sponsor letter and get to the SEC members for solicitation purposes. Still need to select a menu. After last years debacle on the sweets table there will be no sweets table. Instead, we're hoping to contact local businesses and ask for a donation of goods or a reduced price for goods. We'll need to rent two screens for winning Shining Star presentation. Ticket sales will be limited to 500. VI. Open Floor/Commission VII. Next Meeting January 6, 2018 with a Tablescape Committee immediately following at Teresa's home. VIII.
