HomeMy WebLinkAbout09/06/2014 SEC Minutes Mount Prospect Special Events Commission Minutes of September 6, 2014 Mount Prospect Village Hall Roll Call Vicki Busse, Sandy DiCaro, Jill Friedrichs, Christina Greco, Linda Hoefert, Paul Seils, Fred Steinmiller, Liz Stone, Teresa VanOpdorp and Tarina Wimmer Absent Maura Drew, Kathy Janonis and Mike Janonis Guest Dawn Collins and Autumn Stone Call to Order 9:04 a.m. Motion to approve Minutes of August 2, 2014 made by Liz Stone, seconded by Christina Greco. No discussion held. Motion approved unanimously. Citizens to Be Heard No comments made by our guests. Financial Report Motion to accept as presented made by Jill Friedrichs, seconded by Tarina Wimmer. Currently waiting for payment from one Bike Ride sponsor and there may be one more bill to pay. Motion approved unanimously. Family Bike Ride The event, activities and raffle went well. The raffle at the end of the event was a great way to get participants to come back to Melas Park. More water and food is needed, there were approximately 4 cases (of water) supplied in a timely manner, other water was brought as the event ended. We looked very unprofessional running out of water before the 10 milers came back to the property. Most volunteers ever. There were 220 pre-registered showed up the day of the event with a total of 400 riders. Suggestion for next year ~ strongly legs). Was wonderful having Prospect Bikes and Trains join the event, looking to get them more involved. Celestial Celebration Marketing information/nominations begins going out next week. Liz Stone first attended the event at Victoria in the Park Banquets ~ the venue looked fabulous. Other comments: you do higher quality meal to be presented. other village sanctioned groups have held their festivities in neighboring towns. All SEC members would like to see the Celestial Celebration return to the Village when an appropriate venue becomes available. Venues The following is discussion that took place on each facility: Atlantis Pro: Distance Con: Facility is tired looking, food is mediocre, in a strip mall, strip mall parking Paul Seils commented they are difficult to work with Avalon Pro: Sandy DiCaro said the facility manager was very accommodating, Tarina Wimmer has been there before and likes the facility, chandeliers make the low ceilings tolerable, Paul Seils from a business perspective they are a cooperative partner. Con: Teresa went there with two kids and an appointment. The woman at the facility was not nice, seemed annoyed, rying to dismiss kids with candy and refused to turn lights on in bathroom. Linda Hoefert believes the ceilings are low. Parking will be an issue, no valet included, valet would be a flat fee of $400. Main parking is in back of the facility. If a guest would like to valet the front drop off area is narrow and does not accommodate many vehicles, therefore patrons are left waiting on Old Higgins Road to enter valet drop area. Sandy DiCaro was there when an accident occurred in front of the venue. Paul and Jill Friedrichs attended the Village of Mount Prospect Sister City Commission first Belvedere Pro: Beautiful facility, very light, kept up well, Tarina Wimmer said the food comparable Con: Ongoing construction, distance, senior transportation: suggested a motor coach from Village Hall, not allowed in facility on Thursday for set-up, would be Friday at 10:00 a.m. Bristol Palace Pro: In town. Con: Effort has been made to update the facility but it still has the resonance of a tired facility. Dance floor is a liability waiting to happen, it is the same menu prepared by the same chef, Teresa asked the two most senior members of the commission their feelings: Linda Hoefert ~ crowded, dance floor and Jill Via Teresa VanOpDorp, Mike Janonis stated in an email the day of the meeting that the event should stay in town. Cotillion Pro: Accommodating (heard from another group that they left Avalon because they were not accommodating), Sandy DiCaro has been there for functions and is impressed with them. Looking toward the Centennial event this facility can hold 700 guests. Set-up could be done on Thursday. Out of all venues reviewed this was the easiest drive/the most direct route. Con: Outside Village boundaries. Closing comments he price will remain at $45 ($43 using Pay Pal $2 processing feeand reasonable per plate pricing we are hoping to turn a profit from ticket sales to support this and other events sponsored by SEC. Atlantis 0 Avalon 3 Belvedere 5 Bristol Palace 0 Cotillion 10 -Because some members were torn between a couple venues members were given two opportunities to vote. -The second round of voting consisted only of Belvedere and Cotillion. Each member was polled and by a unanimous vote Cotillion was the chosen banquet facility. Discussion as to why this facility was chosen centered around close proximity and pricing. -Question asked by Linda Hoefert: Is our vote a final vote? Yes. Have not ventured into venues at this time. This event should be in Mount Prospect. When the Downtown Business Merchants Association gave this event to SEC they said they did not want this party to be held at Bristol Palace, they had a bad experience at that banquet hall. Would Crystal Palace be a potential venue, further investigation needs to take place. Village Tree Lighting Will be November 26, 2014 Other Business Adjourn 10:20 a.m. Respectfully submitted, Jill M.
